For Customer Service Representative (In-House)s ·
What you'll accomplish
By the end of this guide, you'll be able to analyze a week's or month's worth of customer satisfaction feedback in under 10 minutes — identifying the top themes in negative feedback, spotting systemic problems, and surfacing specific cases that need follow-up. What used to take 45 minutes of manual reading now takes a few minutes with Claude.
What you'll need
Your CSAT data lives in whichever survey platform your company uses. Common exports:
Open the export in Excel or Google Sheets. Identify the columns with: the rating (1-5 or 0-10) and the open-text comment.
You want to give Claude the open-text comments — the written responses, not just the numerical scores.
Two approaches:
Option A (simpler): Copy the comment column directly and paste into Claude
Option B (for larger datasets): Separate negative comments
Type or paste this prompt, then paste your comment data below it:
Analyze these customer satisfaction feedback comments from our customer service team. Please:
1. Identify the top 3 recurring themes in negative feedback (with approximate percentage of comments mentioning each theme)
2. Identify the top 2-3 things customers specifically praised
3. Flag any comments that mention the same issue more than 5 times — these are likely systemic
4. Highlight any urgent issues (billing charges, safety concerns, extreme frustration)
5. Recommend one specific improvement the team could prioritize
Here are the comments:

Claude will return a structured analysis. A good output looks like:
Standard analysis: "Analyze these CSAT comments for top negative themes, positive themes, and urgent issues: [paste]"
Focused analysis: "Focus on the negative comments only. What's the most common complaint? [paste low-score comments]"
Personal analysis: "These are CSAT comments specifically about my interactions. What patterns do you see in the feedback about me? [paste]"
Comparison: "Compare these two sets of CSAT comments (Month 1 vs. Month 2). What changed? [paste both]"
Action items: "Based on these CSAT themes, draft 3 specific action items I could present to my manager: [paste themes or analysis]"
